Election Key Dates and Procedures
Tahoe Donner’s Board of Directors is the governing body of the association and the force ultimately responsible for the direction and oversight of the affairs of the organization, including setting the Annual Assessment, approving capital projects, setting fines and fees and more. The board is made up of unpaid volunteers from a variety of backgrounds and is elected by the membership to act as representatives for the property owners of Tahoe Donner.
Nominations for the 2023 Board of Directors Election closed on April 20, 2023, at 10AM. At that time, the Elections Committee received only two applications for the two open seats and verified the eligibility of the following candidates, who were confirmed as directors by acclimation on April 28, 2023:

Candidacy applications become available online on this webpage.
|APRIL 20 at 10AM||CANDIDATE APPLICATIONS DUE
Applications are due by 10AM. Proof of ownership (a copy of recorded deed) and a conflict of interest statement are required with the submittal of candidacy applications. Applications must be submitted via email in PDF format to the Elections Committee at firstname.lastname@example.org.
|APRIL 20||CANDIDATE ELIGIBILITY VERIFIED
The Elections Committee verifies the eligibility of candidates. Candidates who are deemed eligible are informed and invited to submit a candidate’s statement, attend the Candidate’s Information Forum, record a 60-second video, have an official candidate photograph taken and participate in an Elections Committee-sponsored event intended to allow members to hear from the candidates and inform their voting decisions.
The Elections Committee conducts a blind drawing of candidate names which will determine the placement of candidate names on the elections ballot, candidate statements in the election packet, all communications and the order for asking questions at events.
If there are only two eligible candidates for the two available seats, the Board of Directors may declare that those candidates are elected, and the director election is concluded.

|APRIL 25||INFORMATIONAL FORUM FOR CANDIDATES ONLY
TUESDAY, APRIL 25, 2023 | 2-4PM
Tahoe Donner staff, board members and committee chairs are present at this meeting to provide information to the candidates and answer any questions candidates have about serving on the board, association governance and management, committee structure and functions, etc. This informational forum is overseen by the Inspector of Elections.

FRIDAY, APRIL 28, 2023 | 12PM
Final statements are due in PDF format to the Elections Committee at email@example.com. Videos and photos must be submitted to firstname.lastname@example.org.
If any candidate wishes to remove their name from the election ballot, they are asked to notify the Elections Committee in writing by emailing email@example.com by 12PM in order to avoid confusion during the voting process and to save on additional printing expenses.

Candidate webpages are live at tahoedonner.com/board-elections-1. Candidate webpages include introductory videos, contact info, candidate statements and weekly campaign-related information posting from the candidate if they choose to post.
|MAY 19||DEADLINE FOR MEMBERS TO SUBMIT TOPICS FOR CANDIDATES NIGHT
Deadline for members to submit topics for consideration for candidate discussion at Candidates Night on May 30, 2023. Submit all topics to firstname.lastname@example.org.

Voting packets are mailed to all eligible voters. Packets are mailed to the address on file for your invoices. Please work with all owners of your property regarding your vote.
|MAY 30||CANDIDATES NIGHT

A variety of topics are discussed with the Inspector of Elections as the moderator. Topics are determined by member input. Members must submit topics to the Elections Committee by May 19 at email@example.com. There is not a live question-and-answer period during this event.
Please note that there will be no in-person voting on Saturday, June 24
|ELECTION BALLOT MEETING + REGULAR BOARD MEETING
FRIDAY, JUNE 23, 2023 | 9AM-5PM
The Inspector of Elections will oversee the ballot counting process. The deadline for receipt of ballots mailed or personally delivered to the Accountancy Firm is 5PM. Ballots may be hand-delivered by members from 9AM-5PM. Mailed ballots received after the June 23 deadline will not be counted.
|JUNE 25||ELECTION DAY + ANNUAL MEETING OF MEMBERS
SUNDAY, JUNE 25, 2023 | 10AM-12PM
HAND-DELIVERED BALLOTS ACCEPTED FROM 10-11:30AM
The Annual Membership meeting is held from 10AM-12PM. Hand-delivered ballots are accepted at the Annual Membership meeting from 10-11:30AM, at which time voting concludes. Replacement ballots are available until the conclusion of voting.
Prior to conclusion of the meeting, if a 25% quorum is achieved and the election results are certified by the Inspector of Elections, results (including vote count) are announced at the meeting and communicated to the membership via email and Tahoe Donner News.
If less than 25% of voters have submitted valid ballots, the failure to achieve a quorum is announced, and the meeting, along with the culmination of the Election, is adjourned to the following morning.
|JUNE 26|| IF FAILURE TO REACH QUORUM
If there is a failure to achieve the 25% quorum requirement, the Annual Membership meeting is reconvened at 10AM for the purpose of concluding the annual Election of Directors in accordance with a reduced 15% quorum requirement. As soon as the Election results are certified by the Inspector of Election, the results (including vote tally) are announced and posted.
